Administrative Assistant - Construction

The Administrative Assistant - Construction shall serve as support for the Director of Construction and Tenant Construction Coordinator.

As the Administrative Assistant - Construction, one is held accountable to, however not limited to, the following job functions: 

  • Update Tenant criteria guidelines and Contractor’s rules and regulations as directed
  • Prepare and send requests for proposals for procurement or contractor’s bids 
  • Facilitate signatures/approvals for contracts 
  • Process invoices in accordance with company standards 
  • Manage electronic shared drive documents as necessary 
  • Download specifications and drawings sent from Tenants
  • Distribute criteria guidelines, rules and regulations, and collect insurance certificates
  • Send out Possession notices in accordance with lease
  • Update and distribute Construction Department Tracking schedules bi-weekly
  • Process Tenant Allowances
  • Collect Lien Waivers 
  • Assumes additional responsibilities and performs special projects as needed or directed



  • Excellent verbal and written communication
  • Self-motivated, self-directed and capable of working independently
  • Exceptional organizational skills and extremely detail oriented 
  • Strong interpersonal skills with ability to interact with tenants and other departments/employees
  • Proficient in Word, Excel and Outlook
  • High degree of integrity


  • Previous position in a construction, architecture, or engineering firm preferred
